Who we are

Optimum People Ltd (“we”, “us”) is an HR administration practice registered in England and Wales (No. 16399240). Our registered office address is listed on our contact page. For any privacy matter, contact services@optimumpeople.uk.

What we collect

Enquiry data. When you contact us — by form, email or phone — we keep your name, contact details and the content of your message, so we can answer you and keep a record of the engagement.

Client employee data. When we run HR administration for a client, we process employee records on the client’s documented instructions. The client remains the controller of that data; we act on need-to-know access rules agreed in the handover plan and do not use or share it for anything else.

Technical data. Our website sets strictly necessary cookies only, unless you accept optional analytics cookies via the consent card. See the cookie notice for details.

Why we can use it

Enquiry data: to respond to you and, if we work together, to perform the engagement. Client employee data: to deliver the administration services your employer has asked us to perform. Nothing is used for advertising, and we do not sell data to anyone.

How long we keep it

Enquiries: up to 24 months if no engagement follows. Engagement records: for the duration of the engagement plus the retention period agreed in the handover plan, so records are returned or deleted cleanly at the end.

Your rights

You can ask what we hold about you, ask for a copy, ask us to correct or delete it, and object to or restrict processing. To exercise any of this, email services@optimumpeople.uk. If you are in the UK or the EEA and unhappy with our answer, you can complain to your local data protection authority (in the UK, the Information Commissioner’s Office).

Where data lives

Working files are kept in access-controlled cloud storage within agreed locations; paper originals, where they exist, are held securely and returned on request. We do not transfer client employee data outside the arrangements agreed in the handover plan.
