Terms of Service
The terms on which we take on work. Last updated: February 2026.
1. What these terms cover
These terms govern HR administration services provided by Optimum People Ltd (No. 16399240), with its registered office address listed on our contact page. Each engagement is governed by a written scope agreed before work starts; these terms fill in anything the scope does not say. We provide HR administration support — not legal, tax or accounting advice.
2. Engagement and quotes
Work starts only after a scoping call and a written scope stating what we will do, the price and the start date. Indicative ranges on this website are for planning only and become binding only in a written scope. Projects beyond the agreed scope are re-quoted before the extra work begins.
3. Fees and payment
Prices are quoted in euros. Retainers are invoiced monthly in advance; projects are invoiced per agreed milestones. Invoices are payable within 14 days. Retainers may be changed or ended by either side with 30 days’ written notice. No payment is taken through this website.
4. Your responsibilities
You provide accurate information, timely access to the documents and systems in the handover plan, and a named contact for decisions. We rely on the information you provide; we flag gaps and inconsistencies, but we cannot verify facts that sit entirely on your side.
5. Confidentiality and data
Each side keeps the other’s confidential information confidential and uses it only for the engagement. Employee records are processed under the access rules in the handover plan, as set out in our Privacy Policy. Confidentiality survives the end of the engagement.
6. Liability
We perform the services with reasonable skill and care. Our liability for any claim is limited to the fees paid for the engagement giving rise to it. We are not liable for losses caused by information you did not give us, or for how you use documents we prepared at your instruction.
7. Ending the engagement
Either side may end a retainer with 30 days’ written notice. On ending, we return or delete records as agreed in the handover plan and provide a short hand-back summary so the work can continue smoothly elsewhere.
8. Governing law
These terms and our engagements are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
